The role you’ll contribute:

The Medical Staff Coordinator is responsible for the coordination of the Medical Staff Services Department, including physician and allied health credentialing and re-credentialing, meeting management, flow of information from medical staff committees through the Medical Executive Committee and the Governing Board. Assists with survey preparation for the medical staff/leadership function, including staff and medical staff education regarding accreditation standards. Manages departmental activities and serves as a resource to, and collaborates with, others to advance the quality of providers and patient safety of the facility.

Responsible for initiating, receiving, and processing all initial Medical Staff and Allied Health Professional applications. Communicates regularly with all applicants regarding information needed for completion of applications. Coordinates all queries needed for credentialing applications including personal and professional references, hospital affiliations, education, required data banks, and professional licensure information.

Initiates process for each credentialed provider to be entered into hospital information and access systems. Tracks provider reappointment dates and communicates with individual providers regarding upcoming appointments and required documentation needed. Communicates physician availability with Emergency Department Call by ensuring completion of monthly ED Call Calendar. Completes and distributes calendar for Medical Staff Meetings. Responds to affiliation queries received from other hospitals. Performs clerical functions within the department.

Leads the Credentialing Analyst to accomplish departmental operations and functions.

  • Provides guidance and support, including orientation and training.

  • Develops and implements tools and policies to support knowledge management, record-keeping, and internal and external communication.

  • Participates in audits of credentialing and privileging activities.

Conducts, participates in, and maintains credentialing and privileging.

  • Determines applicant’s initial eligibility for membership/clinical privileges.

  • Compiles, evaluates, and presents the provider-specific data collected for review by one or more decision making bodies.

  • Analyzes application and supporting documents for completeness and informs the provider of the application status, including the need for additional information.

  • Performs initial or reappointment processes for eligible providers.

  • Processes requests for privileges.

Qualifications

The expertise and experiences you’ll need to succeed:

KNOWLEDGE AND SKILLS REQUIRED:

  • Must be proficient in Microsoft Word, Excel, and Power Point.

KNOWLEDGE AND SKILLS PREFERRED:

  • Knowledge of medical terminology; MSOW experience; Bachelor’s degree

EDUCATION AND EXPERIENCE REQUIRED:

  • Associate Degree
  • Requires three years credentialing experience preferably in a healthcare setting. Excellent written and oral presentation skills. Ability to multi-task, prioritize projects, and manage time efficiently and effectively

EDUCATION AND EXPERIENCE PREFERRED:

  • Bachelor’s Degree, preferable in secretarial science or office administration
  • Four years of experience in hospital or related health area

LICENSURE, CERTIFICATION OR REGISTRATION REQUIRED:

  • NAMSS Certified Provider Credentialing Specialist required. Must sit for exam upon eligibility and obtain certification

SUPERVISORY RESPONSIBILITIES:

  • Leads the Credentialing Specialist and provides direction regarding task prioritization
  • Develops departmental procedures
  • Coordinates the flow of information and meeting management
  • Leads the process of accreditation preparedness/survey activities
  • Manages the process of provider orientation
