What You Will Need:

  • High school graduate or equivalent.
  • Superficial knowledge of the reasons for patient care as administered in the department.  Must be able to use various office equipment such as computer, phones, copier, fax machine, printer.

Job Summary:

Under the general and direct supervision of the Clinical Coordinator and Director, performs pre-registry, insurance verification, registry, per-certification, in-house follow-up, and discharge for patients in the outpatient therapy services department.  Provides clerical, secretarial and receptionist support for the therapy services department, independently and with minimum supervision performs other diverse duties as requested or required.  Emphasizes excellent patient experience when interacting with all patients and visitors, handles payments and acts as a cashier for the organization, and performs all duties in a pleasant and accurate manner.  

Qualifications

You Will Be Responsible For:

  • Responsible for the clerical and reception duties for the Admitting, Registration, and scheduling of patients.
  • Uses professional discretion to ensure confidentiality of information concerning employees, patients and the hospital, as outlined in hospital policies.
  • Protects the legal and financial standing of the hospital by obtaining appropriate signatures on consent to treat forms and required assignment of benefits forms, adhering to written policies and procedures.
  • Assigns diagnosis codes on accounts based on physician orders and/or therapist’s notes
  • Reviews and updates assigned reports within 24 hours of receipt, as requested.
  • Responsible for the financial duties for the Admitting and Registration of patients.
  • Collects correct data from patients while pre-registering and registering.
  • Obtains eligibility for patients while registering.
  • Meets all pre-certification requirements according to insurance specifications.
  • Performs all follow-up that is required (copying of i.d. cards, collection of co-pay and deductible, etc.) in a timely manner.
  • Daily corrects errors reported on Experian/computer programs.
  • Determines proper financial class and payor codes while establishing the estimated financial responsibility of the patient and insurance company.  Communicates to the patient and/or guarantor the financial policies of the hospital.
  • Assesses the need for authorization while following established guidelines for each patient in order to ensure payment from payors.
  • Patient service representatives will assist self-pay patients in completing any required documentation and/or direct patients to financial assistant as necessary.
  • Ensure referring physician referral is given and documented, document pts primary care physician.
  • Responsible for payments from patients and acts as a cashier for the organization.
  • Receives cash and check payments from patients, records appropriately and puts in safe/cash drawer as department requires.
  • Makes change as needed.
  • Receives incoming phone calls by third ring using courteous customer oriented techniques and routes calls accordingly.
  • Meets and greets visitors and patients in a friendly, courteous, timely manner 100% of the time and directs them to the appropriate areas or department personnel.
  • Maintains patient appointment calendars, documenting accurate times and ensuring an efficient flow of patient treatment through effective scheduling of patients.
  • Compiles chart for new patients to include physician order, insurance information, medical history form, functional tools, and consent forms.
  • Files charts and appropriate documentation as needed and maintains patient files in an accurate manner.
  • Responsible for mailing/faxing patient reports to appropriate doctors and maintaining the tracking log for these reports.
  • Distributes incoming mail and faxes to appropriate personnel.
  • Refers patients to the appropriate source if they cannot be treated at Texas Health Huguley.
  • Responsible for patient charge procedures within the Therapy Services department as assigned by the Clinical Director.
  • Maintains appropriate departmental records and departmental filing and archive tracking system to ensure the expeditious retrieval of information so that the department staff can accomplish their responsibilities.
  • Pulls medical records upon request from internal departments and oversees the duplication and routing of these records in a timely manner, ensuring confidentiality of all records.
  • Coordinates the duplication and collation of departmental forms and materials on a regular basis, filing masters or copies as appropriate.
  • Communicates appropriately with the Therapy Services Clinical Director, staff, medical staff, nursing staff and others in a professional and timely manner.
  • Communicates to the Clinical Director both direct patient care and non-direct patient care incidents of complaints within the same working day.
  • Gives appropriate feedback to provide input for management decisions.  Once decisions are implemented, complies without evidence of negative behavior.
  • Communicates to the treating therapist the number of pre-certified visits.
  • Puts on/takes off voicemail daily and routes messages to the appropriate person.
