You Will Be Responsible For:
  • Assigns and monitors all job duties in the Document Imaging process. Advises the WFD Document Imaging Manager of issues and problems which hinder the efficiency of the process.
  • Maintains the online Document Imaging Reference materials in conjunction with Education Coordinator (excel file) to ensure DI staff have the proper documentation to reference for document type identification.
  • Trains and educates Document Imaging staff on processes for prepping, scanning, quality control (QC), validation, Power Chart validation, and importing electronic documents. Updates DI staff when new forms are implemented.
  • Responsible for Document Imaging equipment maintenance and supplies.
  • Conducts Power Chart validation monthly and reports results to HIM Document Imaging Manager.
  • Responsible for maintaining records in temporary storage until destruction date as to record type, date of discharge, and date of destruction. Maintains records of destruction dates for the West Florida Division per all regulatory guidelines and corporate policies. 
  • Assists with research and distribution of errors to Document Imaging staff. Collects the documented errors monthly and distributes to HIM Manager. Maintains and submits the error summary for each DI employee to the individual employee. Utilizes Application Extender to find specific batch when notified of issues with a record or document which may include incorrect patient name or document type.
  • Monitors productivity of Document Imaging staff by analyzing batch scanning worksheets and monthly Ascent Capture reports.
  • Works closely with clinical areas and printing department/vendor for the destruction of retired forms, standardization and bar coding of current forms, and processing new forms.
  • Responsible for creation and maintenance of a forms library. Researches unrecognized forms and assists HIM staff in building knowledge base of where clinical forms should be located in the EMR. Reviews policies and procedures regarding form design and maintenance.
  • Performs Document Imaging quality reviews monthly and assists with performance improvement initiatives.
  • Investigates/resolves Document Imaging irregularities during the course of the Document Imaging process.
  • Ensures all records/forms are processed daily or on a regular basis as needed within 48 hours of discharge.
  • Works with HIM Managers and Director to determine Document Imaging staffing needs, work schedules, and develop departmental goals and objectives. Assists with training, evaluations, counseling, and hiring process for DI staff.
  • Serves as a resource to employees, answering questions, and clarifying guidelines. Conducts effective, routine section meetings and educational sessions in conjunction with the Education coordinator
  • Provides section status reports to the HIM Manager in a timely manner and provides prompt notification to the HIM Manager on any discrepancies or issues.
  • Positive morale maintenance in sections on a routine basis (low turnover). Positive relationships with fellow workers. Contributes and promotes employee engagement.
  • Maintains overall section work quality average of 98% as evidenced by monthly/weekly/daily control audits and ensures individual employee output at 95% or higher.
  • Performs daily PowerChart validation for near-time scanning.

Performs other duties as assigned or required.

What You Will Need:


  • Associate of Science Degree in Health Information Management with RHIT registration or RHIT eligible with certification within six months of hire date.
  • Minimum one (1) years previous medical record experience or clinical internship required.
  • Previous management, supervisory, or lead experience required.

The West Florida Division Document Imaging Supervisor under the general supervision of the WFD Manager of Document Imaging is responsible for coordinating the work flow processes to convert the patient medical record from paper media to Electronic Medical Record (EMR) allowing for timely access for patient care, financial processes, quality, educational, and research purposes for the West Florida Tampa Region.  Monitors the Health Information Management (HIM) Document Imaging (DI) staff to ensure the timely process of record prepping, scanning, quality control, and validation.  The Document Imaging Supervisor will have direct oversight to the Chart Recovery Specialists and Document Imaging Specialists within the West Florida Division Tampa region. The Document Imaging Supervisor is a health information management professional with a high level of document imaging knowledge and clinical proficiency necessary to ensure the integrity of the medical record is maintained in systematic and standardized manner throughout the West Florida Division.  Other responsibilities include ensuring the timely and consistent delivery of document images scanned to the designated location to meet HIMSS level 7 requirements for each facility and collaborating with departments that may provide imaging services or chart recovery for timely imaging and storage of documents.
