Work Hours/Shift:   Full Time – 8a – 5p – M-F

You Will Be Responsible For:    

 

The Capital Equipment Planning Coordinators facilitate and execute the capital planning and equipment acquisition process for the Central Florida Division of AdventHealth.  Interacts with campus and division leadership teams in the development of five-year capital budget forecasts and coordinates requests and approvals for annual capital purchases in excess of $250 million. The Capital Equipment Planning Coordinator is responsible for initiating, documenting, and coordinating the implementation of all activities related to the approvals, processing, tracking, and reporting phases of the capital equipment lifecycle. Adheres to the AdventHealth Corporate Plan and to all rules and regulations of all applicable local, state and federal agencies and accrediting bodies.  Actively participates in outstanding customer service and accepts responsibility in maintaining relationships that are equally respectful to all.

PRINCIPAL DUTIES AND JOB RESPONSIBILITIES:

•    Executes annual capital purchase plans through coordination of requirements and approvals

•    Facilitates and maintains the five-year capital budget plans for equipment spending projections

•    Manages the updating of complex database of all capital projects which tracks and documents each step throughout the lifecycle of capital equipment from request through to coordinating installation

•    Acts as a liaison between campus leaders and project coordinators, maintaining awareness of installation status and any potential delay, situation or concern that may affect the installation project

•    Attends and contributes to meetings at director level and above

•    Upholds the highest data integrity standards for managing our database records and suggest improvements as needed to ensure our team standards maintain our capital programs integrity

•    Develops and maintains positive relationships with senior leaders, directors, all stakeholders, cross-functional team members and vendors.

•    Performs regular and consistent follow up on all tasks to ensure completion

•    Participates in and coordinates other special projects as assigned by leadership and participates in multidisciplinary planning groups as requested

•    Schedule and hours are typically traditional business work week, Monday to Friday, but may occasionally require extended hours. Local travel throughout central Florida will be required up approximately 25%


Qualifications

KNOWLEDGE AND SKILLS REQUIRED:

•    Superior ability to adapt in a continuously evolving environment focused on process improvements

•    Exceptional organizational skills with meticulously attention to detailed documentation of multiple projects as daily priorities can shift

•    Solid understanding and knowledge of basic budget and financial principles and procurement processes including capital purchasing and operational budgets

•    Self-motivated with ability to work independently while thriving in a setting of collaboration and teamwork for maximal efficiency and effectiveness

•    Owns the highest data integrity standards for our database records

•    Ability to organize and integrate organization priorities and deadlines

•    Competence in latest software such as Microsoft Office Suite, databases, and Adobe

•    Adept at follow through on all initiatives implemented and all work-projects undertaken

•    Ability to read and understand standard business documents (i.e., quotes, scopes of service, etc.)

•    Strong interpersonal, written and verbal communication skills

 

KNOWLEDGE AND SKILLS PREFERRED:

•    Knowledge of gathering and analyzing data sets and preparing reports that effectively communicate findings to various audiences and stakeholders

•    Knowledge of hospital organization and a commitment to patient-oriented service and professional growth

•    Ability to assess, identify and mitigate project risks 

 
EDUCATION AND EXPERIENCE REQUIRED:

•    High School diploma or GED

•    One to three years’ experience in finance, procurement, or project management

 
EDUCATION AND EXPERIENCE PREFERRED:

•    Bachelor’s degree in Business, Healthcare Admin, Accounting, Finance, or health-related field

•    Two years of budget preparation/management and procurement experience

•    Three years of hospital or other clinical experience
