Work Hours/Shift:
  • Full-Time, Monday – Friday

You Will Be Responsible For:

  • Maintains leader’s calendars and schedules appointments/meetings as requested. Pro-actively assists with scheduling meetings to provide for an effective planned workday.
  • Makes travel arrangements for leaders and staff as requested; confirms travel arrangements, organizes information for leaders, maintains copy of itinerary enabling individuals to be contacted, when deemed necessary.
  • Attends and takes minutes at key meetings, providing turn-around in the timeframe requested by leadership. Works with leadership on the content of minutes to streamline and minimize revisions.
  • Supports Director with multiple projects
  • Coordinates all exhibitor opportunities for the Coalition (travel, applications, shipping, payment, supply orders, scheduling of exhibitors, etc.)
  • Coordinates the planning of annual executive board retreat
  • Onsite support of AH and Coalition Conferences (includes travel)
  • Onsite support of CMI annual team training
  • Maintain all AdventHealth PWB content – update to all new brand standards (Sharepoint and other mediums)
  • Maintain content for an internal AdventHealth Physician Well-Being website with multiple resources

What You Will Need:
  • Minimum of Associates degree
  • 2+ years of program coordination experience
  • 5+ years of administrative support
  • Bachelor’s Degree, preferred
  • Advanced PowerPoint skills preferred, or technical aptitude to learn advanced skillset
  • Ability/desire to learn additional reporting tools
Job Summary:

The Project/Department Coordinator is responsible for organizing and coordinating all CMI – Provider Engagement and Coalition for Physician Well-Being programming and events.  They will also be responsible for collecting, combining, tracking and reporting data from the field in order to provide actionable reporting information to achieve the goals and objectives of the department while supporting the CMI and Coalition Director.  Excellent administrative and project coordination, organization, communication and documentation skills are required. Good decision-making skills, ability to work independently with minimal supervision, flexibility especially during episodic times of stress, attention to detail and ability to multi-task with shifting priorities are key to this position.
