Work Hours/Shift:

Full Time, Day Shift

You Will Be Responsible For:

  • Answers phones, appropriately transfers calls, records messages appropriately, assists staff with office processes, retrieves and distributes the mail
  • Runs computer reports as needed to facilitate clinical operations; processes and tracks physician orders for signature, faxes notes, labs and any other document as directed by clinical team
  • Enters visit notes and "paper documentation" as needed
  • Proficient in aspects of the computer pertaining to assigned job responsibilities
  • May also assist with education of clinical staff in use of computer; function as a super-user
  • Maintains adequate paper backup forms; admission packets, and other office supplies needed for staff
  • Checks in documentation and distributes to proper staff; assesses if paperwork is complete and returns incomplete documents to clinician or supervisor
  • Performs entry of essential data into home care record
  • Batches OASIS data and electronically submits to the state database on a weekly basis
  • Implements tracking system to track all required elements such as physician orders, face to face documentation, Medicare notices, etc
  • Manages medical record process,  processes paper documents to electronic storage, ensures that data is correctly scanned into document repository; boxes and stores paper medical records in a manner that information is easily accessible
  • Performs scheduling process under the supervision of Clinical Coordinator or lead clinician, implementing checks to ensure no visits are missed
  • Maintains adequate medical supplies, implementing processes to ensure that supplies used are charged

What You Will Need:


  • Typing speed of at least 50 words per minute
  • Must exhibit ability to use personal computer, copier, telephone and facsimile machine
  • Previous work processing experience in a medical setting preferred
  • Proficient in Word and Excel software preferred


  • High school graduate or equivalent
  • Minimum two years experience or graduation of business college with associates degree preferred
  • Knowledge of medical terminology and previous medical experience preferred

Job Summary:

Provides secretarial support to the home health department.  Duties include but are not limited to:  performs data entry into the computer system; answers phones, setup and management of the medical record; forms management, scheduling of clinical teams, verification of insurance and tracking authorized visits, performing clerical duties for the Clinical Coordinators.
